Understanding Custom Workflow Settings

When creating a custom workflow, there are several settings to select from. Here's a quick explanation of what each setting means:



Request

Can the Requester edit the default values of the Request Form?

This setting allows users who can create requests to edit default values from the forms.


Review

Is legal approval required before contract is sent?

The review setting allows you to configure an initial review before the contract is sent. If you don't wish to have this initial review, the request will be sent to the counterparty after its creation. Typically, this initial review is valuable to prevent user error by a requester.

Counterparty

Enable in-app negotiations?

By enabling this setting, the counterparty will be allowed to propose changes to the key terms, through the SimpleDocs app. If they do so, the approvers will receive a notification, and they will be asked to approve or decline the proposed changes. If this setting is disabled, the counterparty won't be able to propose changes to the contract through the SimpleDocs app. Instead, they will only be afforded two options:

  1. Signing the agreement as they receive it. They can do that in the SimpleDocs agreement page which is shared with them when you send the agreement via a unique link.
  2. Redlining off-platform and sending an email with their proposed changes.

Pre-approve changes proposed by the counterparty?

If in-app negotiations are enabled, workflow creators can pre-define values that are acceptable for the key terms. If a counterparty requests a change for a key term, and the value matches with the pre-defined ones, that change won't need approval. This way, a counterparty will be able to sign right away. Note: This option only applies to multiple-choice questions.

External Requests

Allow Requests via SimpleLink?

Using SimpleLinks, workflow creators can share a workflow with those that need it, without having to worry about provisioning user accounts.

When enabling SimpleLinks in your Workflow, you're allowing people with an email from the authorized domain to create requests from your workflow without the need to sign in to the app or have an account.

Reminders

Enable automatic reminders in requests?

You can enable email reminders to be sent to the counterparty for their signature. You can change the frequency at your convenience.

Expiration

Enable request expiration?

The expiration setting will allow you to set an expiration date for requests without a signature. This is a good practice, as it prevents your organization from having many stale requests which can create clutter.
