Using SimpleLinks for easier agreement creation

Introduction

Using SimpleLinks, workflow creators and company admins can share a workflow with those that need it without having to worry about provisioning user accounts.

For example, sales team members can easily generate the NDAs they need by clicking on the link and adding the relevant information, without having to maintain credentials to the SimpleDocs platform. 


How it works

  1. SimpleLinks are enabled by default in the organization's settings, for the main domain the company uses. Admins can shut them off using company settings. The settings control which domains are allowed to use the SimpleLink as a security precaution.
  2. For each workflow admins create, an admin or workflow creator can retrieve a SimpleLink that can be shared in an intranet, Slack or via email with team members who need it.
  3. Team members can then use the link, provide their email and retrieve a unique link to enter the platform and create the agreement Request.
  4. Behind the scenes, a user-account is provisioned for each unique email which uses SimpleLinks to generate their agreement requests. This will allow the SimpleDocs platform to associate data appropriately.

Configuring SimpleLinks at the company level

To enable SimpleLinks you must be an Admin User of your Organization.

  1. Go to the "Settings" tab on the sidebar menu, and then click on "Users & groups".
  2. Click on the Sign in via SimpleLinks tab. You can also click on this link here.


  1. Click on "Add domain", add your organization's domain, and click on "Save". You can edit and add as many work domains as you need, but non-work domains such as Gmail are not allowed to protect your data.

Now, all users with an email account from an authorized domain will be able to create requests for your organization.

Disabling SimpleLinks

While SimpleLinks provide distribution advantages by reducing the friction across a large organization, they may not be suitable if you have security concerns. There are two ways to disable them:

  1. Disable SimpleLinks company-wide: You can disable SimpleLinks across your organization using the toggle on the settings page here.
  2. You can also change a setting at a workflow level, in case a specific workflow does not require broad access. The workflow settings page allows you to specify whether SimpleLinks can be used by registered users, or anyone with an approved domain. See a screenshot of that setting here:

Retrieving a SimpleLink for a workflow

Any company admin can copy the workflow link from their workflow list. This can be done in two main ways.

On the Workflow page

This page is accessible immediately after creating a workflow, or by clicking on the workflow from the workflow list.

In the screenshot below, clicking on the top-most row which reads "Copy SimpleLink to create Requests using this workflow" will copy the link so that you can easily share it with anyone in your company.

Click on the three dot menu on the right-side of the workflow card whose link you wish to obtain. This will bring up a menu of additional options. The top-most option will let you copy the link that you can share with your team.
